Your whole academy on one screen.

Schedule, attendance, subscriptions and payments for your martial arts academy, with a portal that keeps every trainee and parent in the loop. Arabic first, English too.

If your sport has a timetable, coaches and a fee, it runs on Aqademy.

Your sport, your timetable.

Every sport has its own rules. The office work is the same everywhere: a timetable, a register, subscriptions, levels to pass and parents with questions. That is the part Aqademy runs, whatever you teach.

This is one academy's real day, in any sport it teaches. Each row is a space, each block a class with its time, its group and the trainees present; the teal line is now.

One academy's real day, in any sport: what is on now, in which space and with how many trainees, then what comes next.

If your sport has a timetable, coaches and a fee, it runs on Aqademy.

Tell us what you teach
  • Your venue, as it is

Set out your spaces once. The schedule refuses two classes in one space, or one coach in two classes, at the same time.

  • Your curriculum, in your words

Programmes, levels and the skills in each, written the way your coaches teach them, with a badge when a trainee finishes a level.

  • Your plans, sold your way

By the month, by the season or by the number of classes, in bundles, with freeze and resume for the trainee who travels.

Everyone at the academy, connected.

Coaches, the front desk and every trainee on one system. The timetable, the register, bills and messages reach the right person by themselves.

Without a system, every parent messages every coach and many messages go unanswered. With Aqademy, the register, the timetable, bills and payments go through one system to the right person.

One chain, from the register to the receipt.

Each step feeds the next, so nothing is typed twice.

  1. Coach

    The coach takes the register

From the phone between groups: present, late, absent or excused.

Nobody types a sheet at night, and the parent sees it at once.

A coach holding a tablet at the side of a football pitch, his group running drills behind him
The register on a coach's phone
  2. Automatic

    The subscription counts the class

Each class the trainee attends comes off their plan by itself.

The desk always knows how many classes are left.

A receptionist at a pool's front desk checking in a mother and her son, wrapped in a towel after his lesson
The subscriptions screen: plans, classes left and renewals due
  3. Front desk

The renewal raises its own invoice

The desk sees whose plan ends this week and renews it in one click.

The invoice is ready, and the bill reaches the parent in the portal.

A manager working at the front desk with a laptop, the pool behind the glass
The invoices screen: paid, part-paid and overdue bills for each branch
  4. Parent and front desk

    The payment closes it

The parent pays cash at the desk, or sends a transfer receipt from the portal.

Staff approve it, the bill shows paid, and the receipt stays on record.

A mother smiling at her phone beside a sports hall while her son waves from the court
A bill and its receipt in the trainee portal
  5. Trainee and coach

A missed class becomes a makeup

When your rules allow, a missed class becomes a credit the trainee books into another class at the same level.

The coach sees the extra trainee on the register, and no class is lost.

Moving over is our job, not yours.

  1. One call

Tell us your branches, your plans and how you really charge.

  2. We move your data

Send it as it is: spreadsheets, an old system, photos of a notebook. We help you move it, and spreadsheets import straight in.

  3. Your team signs in

Each person sees their branch and role, nothing more, and a short guided tour shows them around.

  4. Run next week on Aqademy

Keep the old sheet open beside it until you trust it.

From the front desk to the parent's phone, in one minute.

The schedule and the register for your staff, the numbers for you, a portal for trainees, and Aqademall, where new ones can find you.

A one-minute film with no speech. Paper registers, payments chased on WhatsApp and parents queuing at the desk give way to one system: the schedule and the register for staff, roles and sign-in for the owner, bills, makeups and progress for trainees and parents, and Aqademall, where parents find academies.

Everyone sees their part. You see it all.

Know the money and the renewals every morning, from your phone.

The dashboard shows what each branch earns, who renewed, who left, and which trainees have started missing classes, with the guardian's number to call before they stop coming.

  • Monthly revenue and collection rate, per branch and for the whole academy
  • Attendance, retention and churn for any dates you pick
  • Roles per branch: staff see their branch, you see every branch
  • Two-step sign-in, and a log of sensitive changes

For academies in Egypt and the Gulf.

Every screen reads right to left, and each person picks their own language: the owner can read the numbers in English while the desk works in Arabic. The words are the ones academies here use every day.

Be where parents look for an academy.

Aqademall is our marketplace for trainees and parents. Your page there is built from what you already keep in Aqademy: plans and prices, the weekly timetable, your coaches. Parents ask for an assessment or a trial class, or buy a plan, and each request reaches your console as a lead.

  • Real prices and timetables, never "call for price"
  • Reviews only from trainees who bought from you
  • Each request marked as from Aqademall, so you know where a new trainee came from
  • Listed only if you want, showing only what you choose

Listing comes with Pro and Elite. Aqademall's commission terms are shown before you list.

Questions we hear on the first call

Any sport taught in classes on a timetable. You set out your own spaces, levels, skills and plans, so Aqademy follows how your academy works. Not sure about yours? Tell us what you teach, and we will show it to you in the demo.

Yes. Every screen reads right to left, and English is there for anyone who prefers it. Each person picks their own language, trainees and parents too.

Send it in whatever shape it is in: spreadsheets, an old system, even photos of a notebook. We help you move it, and spreadsheets import straight in.

No. Trainees and parents use Aqademy Portal in the browser on any phone, in Arabic or English.

Cash at the desk, or by bank transfer, InstaPay or a mobile wallet: the parent sends the receipt from the portal, your staff check it, and the payment is recorded against the trainee.

If the absence meets your rules, it becomes a makeup credit. The trainee books another class at the same level from the portal, and the register shows it as a makeup. You set the rules: the notice needed, how long a credit lasts and how many a month.

There are four packages: Kickoff, Pro, Elite and Signature, each priced by your active trainees and branches. Pay month to month, or commit for 6 or 12 months and pay less each month. The packages section shows your price as you set your size.

No. Access is set per branch and per role. A coach sees their own classes and the trainees in them, and nothing else.
